Summary:

Optimise Outsourcing Ltd is seeking a dynamic and outgoing HR Assistant to support the daily activities of our HR department. The ideal candidate will be detail-oriented, possess excellent organizational skills, and demonstrate the ability to handle sensitive information with confidentiality.

Description:

Key Responsibilities:

  1. Onboarding New Staff: Assist in coordinating and implementing onboarding processes for new employees.
  2. Rota/Shift Timetable Management: Create and maintain accurate rota/shift timetables to ensure optimal staffing levels.
  3. Absence Records: Monitor and record employee absences, including sickness and unauthorised leave, to maintain accurate attendance records.
  4. Leave/Holiday Requests: Process employee requests for leave or holiday, coordinating with department managers to ensure operational continuity.
  5. Personnel Files Management: Collate and securely store recruitment and employment documents, ensuring compliance with data protection laws.
  6. Employee Compliance: Handle verification of employee compliance documentation and keep management informed of expiration dates for timely renewals.
  7. Minute Taking: Take accurate and detailed minutes during internal staff meetings and distribute them as required.
  8. Reporting and Communication: Provide timely reports on HR metrics to management, including turnover rates, hiring needs, and compliance issues.

Education:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Relevant certifications in Human Resources (e.g., CHRP, CIPD, SHRM) advantageous.

Experience:

  • Proven experience as an HR assistant or relevant administrative position.
  • Familiarity with HR software and MS Office.
  • Knowledge of labour laws and HR best practices.
